Job Description

Title:             Administrator/PR Assistant
Reporting to:         PR and Marketing Manager, Chief Executive
Purpose of Job:     To fulfil administrative support, PR and marketing, receptionist and secretarial duties in a busy and dynamic music organisation.

1.    Receptionist
Maintaining the smooth operation of a busy office environment, which is also required to double as a reception area for visitors to Music Network. Primary responsibility is to act as friendly and effective ‘first point of contact’ for all outside approaches to the organisation.

Principal duties include:
·    Handling all telephone inquiries
·    Dealing with personal inquiries from members of the public
·    Receiving and welcoming guests
·    Maintaining reception area


2.    Administrative support
Supporting activity managers in a range of administrative duties. Principal tasks include:
·    Maintaining a box office booking system and receiving bookings for Dublin Castle Concerts
·    Assisting and supporting Finance Manager in range of duties, such as inputting invoices, recording transactions, monitoring and accounting for petty cash transactions
·    Liaising with suppliers and service providers, e. g. ensuring adequate stationery stocks  
·    Maintaining key databases


3.  PR and marketing duties
Specific responsibility for certain areas of PR and marketing work, including:
·    Liaising with musicians regarding biographies, photographs, concert programmes, etc.
·    Liaising with promoters around publicity issues and print materials
·    Compiling local press releases
·    Liaising with printers regarding delivery and distribution of publicity materials
·    Overseeing distribution of promotional print for Dublin concerts
·    Dissemination of e-newsletters and monthly e-shot on concert activity
·    Compiling PR reports for tours drawing on information received from our media monitoring service providers
·    Box office reports and data collection
·    Servicing the Music Network friends and corporate friends schemes


4.  Secretarial duties
Assisting Chief Executive with selected secretarial duties. Principal tasks include:
·    Assisting with preparation of Board meetings
·    Attendance at, and minuting of board meetings and occasional other meetings


5.  Office maintenance duties
·    Liaison with landlord on maintenance and repair issues, as well as other issues, including clearing cars for parking, security, etc.
·    Liaison with cleaning service providers
·    Liaison with telecoms/IT systems providers regarding necessary repairs, etc.


General Requirements:
The ideal candidate must be a team player with a friendly disposition, be flexible and be prepared to work in a variety of roles, including staffing approximately 10 evening concerts per annum.

In addition, the ideal candidate will have some or all of the following:
·    An interest in classical or Irish traditional or jazz music
·    Well developed interpersonal and communication skills
·    Strong administrative and organisational skills
·    Well developed IT skills
·    A commitment to ensuring the highest standards in the presentation of live music performance
·    Ability to operate flexibly as part of a close-knit team.


Salary Scale:    €21,245 - €34,448
